How we use your information
This notice explains what WillDoBot collects when you use this website or request a discovery call, why we use it and the choices you have.
Who is responsible
WillDoBot Ltd is the controller of personal information collected through this website. We are registered in England and Wales under company number 13219017. Our registered office is Initial Business Centre, Unit 7 Wilson Business Park, Manchester, M40 8WN.
For a privacy question, rights request or data protection complaint, email miko@willdobot.co.uk and say that your message is about data protection.
Information we collect
When you request a discovery call, the form asks for:
- your name;
- your business name, if you choose to provide it;
- your email address and phone number;
- the best time to call; and
- what you would like us to look at.
The form also records that you agreed to be contacted about the enquiry. Please do not put sensitive personal information in the free-text box. We cannot arrange the call without the required contact and workflow details.
Our systems may also create limited technical records, such as an IP address, browser information, request time and security logs, when you visit or submit the form.
Why we use it
- Answering your enquiry
- We use your contact and workflow details to arrange the call and decide with you whether WillDoBot may be suitable. Where you are enquiring for yourself, our lawful basis is taking steps at your request before a possible contract. Where you contact us for an organisation, we rely on our legitimate interest in answering relevant business enquiries.
- Keeping the website secure
- We use limited technical records to prevent spam, investigate faults and protect the website. Our lawful basis is our legitimate interest in running a secure and dependable service.
- Working with clients
- If you become a client, we may keep relevant enquiry information in the client file to provide the agreed service. Depending on the record, our lawful basis is contract, our legitimate interest in managing client relationships, or a legal obligation such as keeping tax records.
- Understanding the website
- Optional audience measurement helps us see which pages are useful. It stays off unless you allow it, and we rely on your consent when it is on.
We do not use website enquiries for solely automated decisions with legal or similarly significant effects.
Who handles it
Hosting, email-delivery and IT providers process limited information for us so the website can receive and deliver your enquiry. We only allow them to use it to provide those services. We do not sell your information.
If a provider processes information outside the UK, we use the transfer protection required by UK data protection law where one is needed.
We may disclose information where the law requires it, or where it is necessary to establish, exercise or defend a legal claim.
How long we keep it
We normally keep a discovery-call enquiry for no longer than 12 months after our last contact. We may delete it sooner if it is no longer needed.
If you become a client, relevant records may instead be kept with the client file for as long as needed to provide the service and meet legal, tax, insurance or dispute-handling duties.
Your rights and complaints
Depending on the circumstances, you may ask for a copy of your information, ask us to correct or delete it, restrict how we use it, object when we rely on legitimate interests, or in some cases receive information you provided in a portable format. Some rights have exceptions.
Raise a concern with us
Email miko@willdobot.co.uk and explain what you think has gone wrong. We will acknowledge a data protection complaint within 30 days, investigate it and tell you the outcome.
You can also complain to the Information Commissioner’s Office. The ICO usually recommends giving the organisation a chance to respond first.
Cookies and analytics
The privacy control uses an essential cookie named miko_privacy_consent
and local storage named miko_privacy_preferences to remember and enforce
your choice for up to 180 days. These do not enable optional analytics by themselves.
If you choose a light or dark colour theme, that preference is stored in your browser’s local storage so the site can remember it. The preference is not included in your call request and remains until you clear it.
Audience measurement
If you allow it, we load our self-hosted Umami analytics service from
stats.findamat.com to understand which pages are useful. It does not use analytics
cookies or track people across websites. The service receives the page
viewed, referring page, device and browser type, approximate country and the
technical information needed to receive a web request. We do not configure it to
collect anything entered in the discovery-call form.
You can switch audience measurement off again here at any time.
Changes to this notice
We update this notice when the website, our providers or the law changes. The date at the top shows the latest version.
