One place for everything behind a job.

Site photos, notes, estimates, quotes and job documents were ending up in different places. I built one system to keep them together.

The business is not named here. Its owner is testing the system on real work.

The problem

Photos, notes, voice messages, specifications and estimating sheets were spread across WhatsApp and Google Drive. People had to copy the same details more than once. When something changed, the quote and the job paperwork could fall out of step.

What I built

I built one place to keep the job together without throwing away the Google tools the business already uses. Photos and notes feed into the scope. The agreed quote stays fixed. Extra work stays separate. The right details carry through to the paperwork.

Where AI helps

AI helps turn survey photos, videos, voice notes and written specifications into draft tasks and measurements for the quote. The owner checks them and sets the prices before the system creates a versioned draft quote. The same checked information then carries through to contractor instructions, payment schedules and draft invoices.

The owner still decides

The owner checks the work, measurements, prices and documents. The system does not approve work or move money. It keeps the information organised while the decisions stay with the person running the job.
